What is Urgent and What is Important in Your Kyani Business
Dr. Stephen Covey has often taught about tackling the important versus the urgent. Understanding this concept is vital to make effective decisions and manage time wisely.
To understand this concept, we first have to make some definitions. An urgent item is a task that cried out for immediate attention and action. Important tasks are those that, once accomplished, will significantly add value to your organization. These are tasks that move you forward rather than living in the minute. Tasks can even be considered both urgent and important, or neither. Let’s look at these tasks.
It may seem like a seemingly pointless thing when it comes to managing your Kyani business, but learn from my multiple errors when confusing the two that understanding what is urgent and what is important is one of the keys to determining just how successful your business can be.
Neither Urgent or Important
Some tasks require no immediacy and are not altogether important. These tasks are those things that demand our time but do not add significant value to our personal lives or organizations.
Despite this truth (we often easily recognize these tasks), most of us spend at least a part of our day focused on these time-wasters. Time spent browsing social media, reading articles and posts with no educational value, playing video games or phone apps, and television are activities with no real value to our lives. We can live without them. In fact, it would be wise to live without some of them. Statista has said that browsing social media takes up to 2 hours of the average American’s day. Video games take up to 1 hour of the average American’s day.
If you are wasting time on items that are neither urgent nor important, then it should be eliminated from your schedule. Your time is worth money, and who in their right mind would pay money to browse social media?
These tasks require attention but do not necessarily add value. These include ringing phones, texts, spam emails, regularly scheduled meetings, or employees that repeatedly ask you questions. We often attend to these items to clear our docket of work for the day so more important things can be focused on, but this is the wrong approach. Always get the most important tasks out of the way first and get to the urgent tasks later. It is easy to get bogged down in urgent tasks and never get to important tasks or do a bad job with the important tasks.
Urgent and Important
Many tasks fall into this category. These tasks require immediate attention, but also add significant value to your organization. These might include issues and concerns with customers, legal matters, or banking and financial matters.
These tasks are usually easy to recognize and people act accordingly. Make sure to do these tasks first! Have a to-do list to keep your priorities straight. Use a triage method to prioritize which tasks to complete when.
This category of task is most neglected but is extremely important to a business’ overall success. This sort of activity involves developing and training employees and developing leaders. Other things may include researching better strategies, planning, and organizing. These all are important to your organization’s success, but they are often overlooked by more urgent matters. Important tasks ensure continued success and development.
I used to take care of all things urgent prior to taking care of anything urgent and important. I was simply too focused on taking care of what, at the time, I deemed urgent. Once I understood that I should first accomplish everything that is urgently important, followed by a mix of important tasks and urgent tasks, my business visibly started growing almost overnight.
